Job Description
Purpose
Brisbane Grammar School is committed to managing and minimising risk by identifying, analysing, evaluating, and treating exposures that may impact the School’s ability to achieve its strategic objectives and the efficiency and effectiveness of its operations.
The Compliance/Paralegal – Corporate Risk is responsible for leading and coordinating the frameworks, systems, and procedures that support effective risk management, regulatory compliance, policy governance, insurance oversight, and legal administration across the School.
This middle leadership role provides assurance and direct support to the Chief Financial Officer and Secretary to the Board of Trustees by assisting in the administration and coordination of legal matters affecting the School, while ensuring that strategic risks, compliance obligations, policies, and legal exposures are systematically identified, managed, monitored, and reported in accordance with good governance practice.
Key Responsibilities
Risk Management
Lead the sustainability and continuous improvement of the School’s enterprise risk management framework.
Facilitate the identification, assessment, treatment, and monitoring of strategic, operational, financial, compliance, and reputational risks.
Ensure the risk management frameworks enables the delivery of the School Strategy approved by the Board of Trustees.
Maintain and oversee the School’s risk registers, ensuring risks are appropriately documented, reviewed, and escalated.
Provide advice and guidance to senior leaders on risk management practices and emerging risk issues.
Embed a risk-aware culture across the School through education, communication, and engagement.
Policy Management
Oversee the School’s policy governance framework, ensuring policies are current, fit for purpose, and aligned with legislative, regulatory, and governance requirements.
Coordinate the development, review, approval, and periodic renewal of School policies and procedures.
Maintain a central register of policies, including version control, approval history, and scheduled review dates.
Provide advice to policy owners on drafting, interpretation, and implementation of policies.
Compliance Management
Manage systems to identify, monitor, and report on the School’s compliance obligations.
Coordinate compliance reporting and assurance activities across the School.
Support internal reviews and audits relating to compliance, governance, and risk management.
Drive senior leaders to understand and meet their compliance responsibilities.
Data Privacy
Oversee the School’s privacy and data protection framework, including policies, procedures, and awareness initiatives.
Support compliance with applicable privacy and data protection legislation.
Coordinate responses to privacy incidents or data breaches, including investigation, reporting, and remediation.
Provide guidance on information handling, data sharing, and record management practices.
Governance Reporting
Prepare and coordinate reports on risk, compliance, insurance, and legal matters for the Board of Trustees and relevant Board Committees.
Support the Chief Financial Officer and Secretary to the Board in the preparation of governance papers and briefings.
Maintain governance registers and records required to support transparency, accountability, and audit requirements.
Insurance Management
Manage the School’s insurance program, including placement, renewal, and ongoing administration of policies.
Coordinate insurance claims, including liaison with insurers, brokers, external advisers, and internal stakeholders.
Monitor insurance coverage to ensure alignment with the School’s risk profile and operational activities.
Provide advice on insurance implications of new activities, projects, or contractual arrangements.
Legal Administration & Advisory Support
Assist and support the Chief Financial Officer and Secretary to the Board of Trustees in the administration, coordination, and management of the School’s legal matters, including but not limited to the following:
Coordinate the administration of legal claims, disputes, and complaints involving the School, including liaison with insurers, external legal advisers, regulators, and relevant internal stakeholders.
Support the CFO in responding to actual or potential claims against the School, including the preparation and coordination of documentation, factual briefings, and evidentiary material.
Assist with the review, administration, and risk assessment of contracts, agreements, deeds, memoranda of understanding, and other legal instruments prior to execution, identifying material legal, commercial, and risk issues for escalation to the CFO.
Support effective contract management practices, including record-keeping, execution control, variation management, and monitoring of renewal or termination dates.
Assist the CFO in coordinating legal advice from external counsel, including briefing matters, managing engagement scopes, monitoring costs, and ensuring advice is appropriately documented and retained.
Support the review, development, and maintenance of School policies, procedures, and governance documents to ensure alignment with legislative obligations, regulatory requirements, and legal risk mitigation.
Monitor legislative and regulatory developments relevant to the School and assist the CFO in assessing potential legal and operational impacts.
Support the preparation of Board and Committee papers relating to legal matters, claims, disputes, or material legal risks.
Maintain registers and records relating to legal matters, claims, disputes, contracts, and legal advice to support governance, audit, and reporting requirements.
Promote a proactive and risk-based approach to legal risk management across the School in collaboration with senior leaders and functional areas.
Committee Membership & Engagement
Participate as a member of relevant management committees and working groups as required, including the Crisis Management Committee and the School Tours Committee.
Provide specialist risk, compliance, insurance, and legal administration input to committees and project teams.
Support cross-functional collaboration to improve governance and risk outcomes.
Desired Skills and Experience
Qualifications
Bachelor’s degree in a relevant discipline (commerce, law, business, or equivalent).
Postgraduate qualifications or professional training in risk management, governance, compliance, or law will be highly regarded.
Experience and Capabilities
Demonstrated experience in senior risk, compliance, governance, or assurance roles within complex organisations.
Experience assisting senior executives with legal matters, claims management, contract review, or engagement of external legal advisers.
Strong understanding of risk management principles, governance frameworks, and regulatory environments.
Ability to identify, assess, and communicate legal and regulatory risks in a practical and commercial manner.
High level of discretion, judgement, and professionalism when dealing with sensitive or confidential matters.
