Job Description

About the Role

This is a Term 2 contract position 20/04/2026 - 19/06/2026

Purpose

To assist the Director of Music and the music staff by supplying administrative support in all aspects of the music program.

Vocal & Instrumental Tuition Program
Assisting the Head of Music in the administration of the tuition program. Tasks could include:

  • Word-processing
  • Use of Synergetic (class and group management, timetabling and communications)
  • Updating MyGrammar with relevant information
  • Processing new & discontinuing students
  • Liaising with staff to maintain accurate lists of students
  • Monitoring student attendance records
  • When necessary, communicating with parents concerning procedural matters
  • Assisting with assessment & reporting
  • Liaising with staff concerning student resource requirements
  • Coordinating the servicing of instruments
  • Stocktaking
  • Billing and payment management for private tuition
  • Instrument loans, charges and returns
  • Room bookings

Performance Music Program
Assisting the Director of Music in administration of the Performance Music Program. Tasks could include:

  • Word-processing
  • Establishing data bases
  • Use of Synergetic, EdVal TES and BGS Connect (class management, scheduling, attendance, communications)
  • Updating MyGrammar with relevant information
  • Creation of presentation materials (e.g. PowerPoint displays for Open Day)
  • Processing new & discontinuing students
  • Liaising with staff to maintain accurate lists of students
  • Monitoring student attendance records
  • Copying and filing of music
  • Event Management for music events including concerts, festivals, workshops, etc on or off campus (room bookings, calendar, ticket sales, event forms/requirements and logistics)

General Music Department Duties
The job of the Administrative Assistant will include assisting the Head of Music and music staff in the administration of Music Department events and projects. Duties may include:

  • Word processing (programs, timetables, certificates etc.)
  • Maintaining data bases (including student lists)
  • Production of presentation materials
  • General organisational and administrative tasks such as phone calls, letter writing etc.
  • Regularly assist students with general enquiries and issues
  • Maintain and monitor use of the music staff room space and facilities
  • Manage allocations and monitor use of music lockers
  • Management and maintenance of the Optimo Database (music, instruments, students, loans, returns, user access)

Specific projects may include:

  • Music Library
  • Camps
  • Tours
  • School concerts and recitals
  • Open Day displays 
  • Any other tasks within the School as required.
